Resolute Repair Tattoo ("Resolute Repair", "we", "us", "our") is a paramedical scar clinic based in Moorabbin, Victoria. This policy explains how we collect, use, store and disclose personal information, including health information, in connection with our website, bookings and treatments.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Because we collect health information as part of providing our services, this applies to us regardless of business size.

What we collect

Depending on how you interact with us, we may collect:

• Contact details — name, phone number, email address, postal address
• Booking details — appointment history, service selected, deposit and payment records
• Health information — details provided in your health form and treatment waiver, including relevant medical history, medications, skin condition, and information about the scar or area being treated. This is sensitive information under the APPs and is treated with additional care.
• Consult notes — outcomes discussed, treatment plan, session records
• Images — before/after photos taken for your treatment record, and, if you've agreed on your waiver, for our portfolio or marketing
• Payment information — processed through our payment provider; we do not store full card details ourselves
• Website and communication data — messages you send us, and technical data such as IP address or browser type if you use our website or booking system

How we collect it

• Directly from you, via our booking system (Timely), health forms and waivers completed in-studio, consultations, and any emails, calls or SMS between us
• Automatically, through cookies or similar technology when you browse our website (see Cookies, below)
• From our website platform (Shopify), where our site is hosted

Why we collect and use it

We use your information to:

• Assess suitability for treatment and build a treatment plan
• Book, confirm, reschedule and remind you of appointments
• Provide pre- and post-treatment care instructions
• Deliver treatment safely, with regard to your health history
• Process payments and deposits
• Send appointment-related SMS and email (confirmations, reminders, aftercare, healing check-ins)
• With your consent, send marketing emails or newsletters about the clinic, offers or educational content
• With your consent, use before/after images in our portfolio or marketing
• Request a Google review following treatment
• Meet our legal, insurance and record-keeping obligations as a health-adjacent service

We do not use your health information for marketing purposes, and we do not sell your personal information to anyone.

Marketing and opting out

If you've agreed to receive marketing emails or newsletters from us, every email includes an unsubscribe link. Appointment-related messages (booking confirmations, prep guidance, aftercare, review requests tied to a completed treatment) are operational rather than marketing, so they'll continue as part of your booking with us regardless of newsletter preferences.

Your treatment waiver records consent to receive marketing communications and consent to use your photos or videos as two separate, individually initialled items. Agreeing to one doesn't mean you've agreed to the other. You can withdraw either at any time, for example asking us to stop using your images publicly while remaining happy to receive emails, or vice versa, by contacting us directly. We'll update our records accordingly.

Who we share information with

We share limited information with the third-party platforms that run our business, only as needed for them to provide their service to us:

• Timely — booking, scheduling, and automated SMS/email communications
• Shopify — website hosting and payment processing
• Google — if you're sent a review request link

These providers may store data on servers outside Australia. We choose providers who maintain appropriate security standards, but we don't directly control their systems.

We don't disclose your health information to anyone outside the clinic without your consent, except where required by law (for example, a court order) or in a genuine medical emergency.

If a surgeon or allied health professional has referred you and expects a summary of outcomes, we'll only share that with your consent.

Storage and security

Your information is stored securely across our booking system, payment processor, and, for physical health forms or waivers, in the studio. We take reasonable steps to protect information from misuse, loss, and unauthorised access, including restricting access to Demi and any staff directly involved in your care.

We retain health records for as long as required under relevant Victorian health records and medical record-keeping requirements, and other personal information only for as long as it's needed for the purposes above.

Cookies

Our website may use cookies through our website platform to understand site usage and improve the browsing experience. You can control or disable cookies through your browser settings; this may affect how the site functions.

Access and correction

You can ask to see the personal information we hold about you, or ask us to correct it, at any time. Contact us at info@resoluterepairtattoo.com.au and we'll respond within a reasonable timeframe. In some cases (for example, where health records must be retained by law) we may not be able to delete information even if requested.
